Whether you want to set regular working hours, manage holidays, or add custom shifts, the team Rota is the best place to make these changes. It’s the most efficient way to plan and schedule your team’s time – and manage your booking availability. Here’s everything you can do with the team Rota.
First, set your opening hours
The first step to managing your availability is setting your opening hours. Head to the web version of Connect, click ‘Settings’, then ‘Opening hours’.
If you need to change your opening hours, just follow the steps in this post.
Create individual weekly schedules for everyone in your team
Creating a recurring schedule for each team member is the quickest and easiest way to set their working hours. Every specialist is different – and while some prefer the early shift, others will only work in the afternoons or on the weekends. A weekly schedule you create will repeat indefinitely until you create a new one, making things easier for you. Here’s how to create a schedule:
- Open Connect on your desktop, then head to Rota
- Click on the team member’s hours, then 'New schedule'
- Select their working days, and set working hours for each day
- Each new schedule will be marked in green in your Rota, so you'll always know if there's a recurring schedule for that team member
Need to make a change in the schedule? Just click on the highlighted hours, then 'Change schedule.’ From there you’ll be able to switch the schedule to your opening hours or create a new one.
Set custom hours in a few clicks
The unexpected can happen at any time, and working hours may need to be changed for a day or two. Perhaps someone in your team is feeling unwell, and another specialist needs to cover a shift or two. Don’t worry – setting custom hours is easy. Just click on the day you’d like to edit under the team member’s name, then ‘Edit day’. Then, you'll see the new custom hours appear in yellow on the rota.
Tip: If you've set a custom schedule but the calendar view for that team member still appears blocked, check that that day wasn't already set as a non-working day. Head to the rota and click on the day that appears blocked. If you see the option to "Remove day off" it means that day was set as a day off.
Easily add or remove time off
Team member taking a few days off? Just click on the day you want to edit, then ‘Add time off'. Fill in the start and end dates, click ‘Save’ – and it will be added to your Rota instantly.
Change of plans? You can remove time off quickly by clicking on the day again, then choosing ‘Remove time off’ from the list of options.
