Proceed to checkout
To proceed to checkout just click on the particular appointment in calendar view and then choose ‘checkout’. The checkout screen appears with all services of the appointment automatically preselected.
Edit service price
If you need to change the price of a service, e.g. to give a discount, just click on the amount. You’re then able to set a different price, which only will be applied for this particular checkout; your service list and its prices remain unchanged.
Products can easily be sold in the same checkout mask, they are placed right below services. As soon as you have clicked ‘sell product’ you can conveniently choose an existing one (by clicking it or typing at least two letters of the product name).
Also, if the product had not been added to your product list before, you can create it there. Enter its name and the sales price (including VAT), as soon as the checkout is completed it will be added to your product list with standard VAT rate (20%).
If you need to sell different products just repeat both procedures. The amount of any product added to checkout is automatically set to ‘1’ but can easily be amended by clicking on it.
Sell salon vouchers
Does a customer want to buy a salon voucher for your services and products in addition to the already received service, they can easily be sold in the same checkout mask, they are placed below services, right next to sell products.
When you have chosen the Salon voucher option, you are able to sell a voucher by defining a description, value and how many you want to sell. The VAT of 0% will always automatically be assigned as our system considers the salon voucher or giftcard as undefined vouchers. Every service or product on offer can be paid with these salon vouchers. At issuance for such salon vouchers (for example a salon voucher with the value of £/€50) it is not defined, which service or which product can be bought or when these vouchers will and have to be redeemed. The VAT will not be charged at issuance of the salon voucher, but at the voucher redemption. Therefore the issue of salon vouchers will not be part of the gross total in the end of day report, but be shown in an separate section.
Note: In case you are unsure about the taxation of salon vouchers please address this with your accountants or tax advisor. Unfortunately we are not allowed to give tax advice.
Select payment method
When all items for the checkout are set, the amount payable will be shown. Now you will have to chose the payment method.
Payment methods are combinable ie if a customer pays one part in cash and the other part with card, each used payment method will have to be declared correctly.
In case of cash payments click on the designated button. The total amount payable will be shown. If the customer is not able to pay the exact amount, you will always enter the amount given. The Treatwell POS will automatically calculate the change and will show this on the receipt as well. Confirm the entered amount via a click.
The Treatwell POS does not have a gateway for card reading devices or mobile payment solutions at the moment. The actual procedure (and respectively a later refund) of the non-cash card payment will therefore always be carried out externally of our software.
Non-cash card payments carried out outside of Treatwell POS have to be recorded by the user nonetheless. Because the actual external payment can be unsuccessful this step should always be carried out beforehand. Only if the payment was successful you should checkout the sales in Treatwell POS.
To record the card payment in Treatwell POS click on the designated button. Select the correct card type. In Treatwell POS you can choose from Maestro, VISA, Mastercard and American Express. The amount payable will be shown. Should the amount paid via card deviate, you have to adjust this now at this stage.
Important: In case the given amount is higher then the amount payable the difference for all card payments will be recorded as noncash and VAT free tip. A detailed description you will find under ‘Tip’.
Other payment methods
If a customer pays with a salon voucher issued by you or by any third party or with any other accepted payment method by you, chose this button. Here you select the appropriate category and enter each with the correct description ie name or ID number of the voucher. The amount payable will be shown here as well.
Important: In case the given amount is higher then the amount payable the difference for all other payment methods will be recorded as noncash and VAT free tip. A detailed description you will find under ‘Tip’.
Payments received via Treatwell
All bookings via Treatwell where the customer already prepaid online, the already paid amount will automatically preselected. In case the total amount will increase because the customer bought some products in addition, the additional amount can be checked out through all other available payment methods.
Employee performing checkout
After having chosen the payment method chose via click the employee who performed the checkout. The name of the employee will be printed on the receipt after completing the checkout.
Only if all items are entered correctly complete the checkout via the designated button. In all cases will then the invoice saved and the transaction be recorded. Following it will be shown and recorded in the ‘Transaction report’. The appointment will then show a blue line instead of a green one and can only be adjusted if the appointment was refunded first.
Note: The checkout will only be able to be completed when the total amount payable and the given amounts will match or will be higher. For example, when a customer has to pay £/€65 and he has only paid £/€45 it will not be possible to checkout the appointment.
After the completed checkout a window will open. Here you will have the possibility to print a receipt via click. Alternatively you can check the box which says: ‘Print receipt automatically’. In the future the receipt will be printed automatically after you have checked out an appointment. This setting can be reversed in the same window at anytime you want.
